Microsoft OneDrive Enterprise is our connector that allows to collect data from Microsoft OneDrive for Business, which is part of the Microsoft 365 product suite.
In this article, you will learn how to create a Microsoft OneDrive Enterprise collection and find answers to common questions for this connector.
This connector is in Beta, we recommend caution when using it. If you want to try it, contact your Onna representative.
Requirements
To create a Microsoft OneDrive Enterprise collection in Onna you need:
- Any Microsoft license that allows subscribing to chat messages
- An Onna enterprise account
- Credentials of a Microsoft 365 user with the Privileged Role
- To authorize Onna to connect to Microsoft OneDrive
- An Admin user account in Onna
- The Microsoft OneDrive Enterprise connector enabled in Onna
- An existing workspace in Onna

Create a Microsoft OneDrive Enterprise collection
To create a Microsoft OneDrive Enterprise collection:
1. Browse to your workspace and select + in the top-right corner.
2. Select Microsoft OneDrive Enterprise from the list of available sources.
3. Do one of the following:
- If you already have an authorized user account for Microsoft 365, select Connect.
- If you want to add a new one, from the Account drop-down select Use another account and follow the steps.
4. (Optional) Configure the collection period.
Selecting Ongoing as the end date sets the collection to be periodically scanning for and collecting newly available data
a. On the Source configuration screen, select the Start date - End date area.
b. On the Select period screen, configure your start and end dates, then select Apply.
5. (Optional) Select the users you want to collect data for.
All users are selected by default. If you want to collect all of them, you can skip this step.
a. On the Source configuration screen, select the Users area.
b. On the Select users screen, in the Users section, select Enter manually.
c. Type the emails of the users you want to collect data for, select them from the results, then select Apply.
6. (Optional) Enter a name for your collection. A common naming convention for eDiscovery purposes is to name it after the company or individual. For example, Onna VS Acmecorp.
7. When you’re done configuring your source, select Create source.
As data is collected, you will start seeing it in your collection.

What data can be collected from OneDrive?
All files for the selected users. For each file, the following information is collected:
- ID
- Web URL
- Date Created
- Date modified
- Created By
- Modified By
- Folder Path
- Server Modified
- Is Deleted
What data cannot be collected from OneDrive?
At the moment, Onna can’t collect:
- Files deleted before the first collection
- Shared with me files
- Team sites
What ways do I have to collect data from OneDrive?
You have two ways to collect data from Microsoft OneDrive. They depend on the collection period that you select:
- If you select fixed start and end dates, data will be collected once. This also means that any changes to the data happening after the collection date will not be collected.
- If you select Ongoing as the end date, new data will be collected as it’s found in OneDrive. This also means that changes to the data, such as edits and deletions, will be collected as they happen.
Are edits and deletions tracked for OneDrive?
Yes, Onna can track edits and deletions when you select Ongoing as the end date when configuring the period of the collection.
What are known issues or limitations for this connector?
We're currently aware of:
- It’s not possible to track (hence collect) moved and renamed folders
- When a user changes their emails, their data will be collected as if they’re a new user
Are files in the trash collected from OneDrive?
Files in the trash cannot be collected during the initial collection. However, if a file is moved to the trash after the initial collection, we track this change. This is only possible when the collection is configured as ongoing. For more information, see What ways do I have to collect data from OneDrive?
Does Onna keep an audit log of the data collected?
Yes, Onna keeps an audit log of all the files, documents, conversations, and other resources collected. You can learn more by reading our documentation about audit logs.
Can I export data collected from OneDrive?
Yes, you can export data and metadata in an eDiscovery-ready file format, such as DAT, CSV, or custom text file.

How can I search for the OneDrive data collected?
There are many ways you can search for data in Onna. You can also enable searchable fields to get more relevant search results. To understand which searchable fields are relevant for OneDrive, contact our Support team.
What permissions are required to collect from OneDrive?
To connect to your Microsoft OneDrive for Business instance, this connector requires the following permissions:
- Read user chat messages
- Read user mail
- Maintain access to data you have given it access to
- Read all OneNote notebooks that user can access
- Read user mailbox settings
- Sign in and read user profile
- Read all groups
- Read and write all groups
- Read all files that user can access
- Read items in all site collections
- Read items in all site collections
- Read files in all site collections
- Read all users' full profiles
- Read all audit log data
- Read all chat messages
- Read all channel messages
- Read all user mailbox settings
- Read mail in all mailboxes
- Read all groups

Why do I need a Microsoft admin user account?
We use the Microsoft Graph APIs to collect all your Microsoft OneDrive user data. For this, Onna requires organization-wide Graph API access.
Only Microsoft user accounts with an Administrative Role can consent to this access. The user role with the least privileges that can grant this is the Privileged Role Administrator. You can also use a role with greater privileges, such as Global Administrator.
We recommend using a service account with the appropriate Administrator Role to grant Onna access to your account.
For the purpose of setting up Onna with your Microsoft OneDrive account, we recommend creating a user account with the appropriate privileges instead of using an existing personal user account. When assigning new privileges to an account, it may take up to 24 hours for the changes to take effect.

What are the rate limits for the OneDrive connector?
Our connector doesn’t have specific rate limits. However, you may run into rate limits from the Microsoft Graph API.
What OneDrive license do I need to collect data?
This connector works for OneDrive for Business and Microsoft 365 Business plans. We recommend checking Microsoft OneDrive pricing page for more information.
You also need access to the Microsoft Graph API. If you already have access to it, you don’t need to take any other action if you have one of those licenses. If you need to obtain access to the Microsoft Graph API, we recommend checking the pricing page.
