How to Save a Search Query
The basic search function in Onna allows you to build complex queries to search across all your data. Rather than having to remember complex queries each time you want to look at the same type(s) of data, Onna allows you to save your search query. To save a search query, follow the steps below:
Step 1To begin, enter your query into the search bar (a) and add any filters needed to your results (b). |

Step 2Click on the ellipsis to the search bar. |

Step 3From the dropdown menu select the option ‘Save & share search query’ which will allow you to both save and share your query. |

Step 4In the new window that appears, you will first name your search (a). Note that the default for your search name will be the date you performed the search followed by query. Next, you’ll see the search query you’re saving in the ‘Search query’ field (b) and confirm that it is correct. You’ll then have the option to add users you want to share your search query with (c) and include a message (d). You do not need to share your query to save it. You are also able to share your query after it has been saved. Finally, click the blue ‘Share’ button at the bottom of your screen. Your search is now saved and, if applicable, shared. |

Step 5To view your saved search query you can go to the ‘Search query page’ (a). On this page you will see all of your saved search queries and saved advanced searches as well as any advanced searches and saved search queries shared with you. In this list you’ll see the search query you just saved (b). |

How to Load a Saved Search Query
Once your search query has been saved you’re able to use that query in any location you have access to data in your site. To load a saved search, follow the steps below:
Step 1In the location you want to run the search click on the ellipsis on the right side of the search bar. |

Step 2From the dropdown menu that appears select ‘Load search query’. |

Step 3A new window will appear with a list of all saved search queries you have access to. From this list click on the query you want to load (a). Then, at the bottom of the screen click the blue ‘Load’ button (b). |

Step 4You’ll now see that your query has been loaded into the search bar (a) and all filters that were saved with the query will also be selected in your filter menu (b). Note: Not all filters are applicable in every location. For example, if you selected a source type of ‘Slack enterprise’ in the filter menu, but you’re loading the search query in a location that contains no ‘Slack enterprise’ data, that filter will be removed. If this is the case when you load the query, you will receive an error message that states: “Some filters are not applicable in this context and were removed” |
How to Share a Search Query
There may be times where you want to share a saved query after you’ve saved it. In order to share an existing saved search query, follow the steps below:
Step 1Begin by clicking on the ‘Search queries’ link in the main menu. Once on the ‘Search queries’ page, highlight the query you want to share and scroll to the very right side of that row (b). |

Step 2Once you’ve scrolled all the way to the right side of the row, click on the ellipsis (a). Then, from the dropdown menu that appears, select ‘Share’ (b). |

Step 3You’ll now see the ‘Share query…” screen appear. On this screen you’ll enter the names of users you want to share your search query with in the ‘User or groups to share with’ field (a). Then, you have the option to add a message for the users you’re sharing your search query with in the ‘Message’ field (b). Note: This is not required to share the query. Finally, you will click the blue ‘Share’ button (c) in the bottom right corner of the screen. |
How to Remove Search Query Members
You may need to remove members from a shared search query. To do so, follow the steps below:
Step 1To remove members from a shared search query, first click on the ‘Search queries’ link in the main menu. Once on the ‘Search queries’ page, highlight the query you want to share and scroll to the very right side of that row (b). |

Step 2Once you’ve scrolled all the way to the right side of the row, click on the ellipsis (a). Then, from the dropdown menu that appears, select ‘Share’ (b). |

Step 3Click on ‘Manage members’ in the lower left corner of the screen. |
|
Step 4For any member you want to remove click the ‘X’ next to their name (a). If you decide you need to add any additional members at this point, you can also click ‘Add more people’ (b) at the bottom of the screen to go back to the ‘Share query..’ page. |

How to Delete a Search Query
When you need to remove a query you’re able to delete it from your list on the ‘Search queries’ page. To do so, follow the steps below:
Step 1Begin by clicking on the ‘Search queries’ link in the main menu. Once on the ‘Search queries’ page, highlight the query you want to share and scroll to the very right side of that row (b). |

Step 2Once you’ve scrolled all the way to the right side of the row, click on the ellipsis (a). Then, from the dropdown menu that appears, select ‘Delete’ (b). |
|
Step 3You will now see a pop-up appear asking you to confirm that you want to delete your search query. To confirm, click the red trash can icon. Your search query is now removed from your list of queries. |
