This article is only applicable to users of Onna Discovery and Onna Enterprise.
There are three places that you can create an export from within Onna:

From an entire source

From a saved search
-
From an advanced search
Exporting an advanced search
Once you’ve saved and run your search, the next page will show you a set of results that match your search conditions:

On the top bar, you'll see an Export button. Click that button if you'd like to export the current search and a modal will appear to take you through the export, as pictured below:

You can then continue the regular export workflow. Let's take a closer look at the options available for export.

An export name will be generated based on the name of the advanced search. This can be modified at any time. Next, you have three options:

Generate CSV report with metadata: This option is if you'd just like to create a report of all of the files in the source and their metadata

Generate CSV report and download files: This will create the report with metadata and also download all files currently in the source

Advanced export - Choose this option if going through a standard eDiscovery export
You can choose to include document families in your exports. When you do, any ancestor, descendant, and sibling documents, files, or attachments of the search results are included.
When you select either Generate CSV report with metadata or Generate CSV report and download files as your export type, there's a shortcut to select the option Include document family. When you select Advanced export, the option is available in the advanced configuration steps.
Once you've selected your desired option, click 'Configure'
If you have previously added cloud transfer credentials in Onna you will have the option to perform a manual download or cloud transfer.

Enable the cloud transfer option to view additional fields for configuring your export to use a cloud transfer.

Select the cloud transfer you would like to use.

Enter an internal email address or an external email address to notify the user(s) when the cloud transfer has completed.

Note: Leaving the cloud transfer option off will generate the volumes where you could continue to manually download the export.

The next screen lists all of the metadata available for export.

The first column, 'Document metadata', lists all metadata fields commonly found on documents.
The second column, 'Source metadata', lists metadata fields commonly found at the original source. It also lists Machine learning metadata which is added during our processing phase and includes classification and detected language.
The third column, 'Source specific metadata', lists the different integrations we offer and the specific metadata available to them.
Once you select the metadata fields you'd like to see on your export, click next.
If you've selected to get a CSV or a CSV + file, you'll see a summary of the report you'll be creating. Click 'Done' to start your export.

If you've selected Advanced Export you'll see the following screen:

On this screen you can configure the control number of the export or choose to export using original file name. You can enter a desired field name for the control number to appear in your Load file, set your numbering prefix, enter your desired start number and set the amount of digits you wish your control number to contain. Each field contains a default value you can customize to your specifications. An example of your starting control number will appear in the upper right corner of the column.
You can choose whether to includes native files and/or text files (default: include). While exporting your information, you can decide to export both native and PDF formats. The list of file types that Onna converts into PDF is EML, MSG, HTML, TXT, DOC, DOCX, RPT, RFT, PPT, PPTX, and CSV.
Note: A file is converted into PDF if its size is less than 10MB.
You also have the ability to Include neighboring Slack conversations with the option to select the number of days to export as well as the ability to export your conversations as single messages.

You can also choose the format of your load file and choose from

Depending on your configuration you will also be able to modify the encoding and different types of characters on the right-hand side.
Once you're finished configuring your export, click next. You'll get the summary screen of your export. Click 'Done' to start your export.
A collection of your exports can be found by accessing the Export page on the global menu on the left-hand side.

The export page has been redesigned to give you a better user experience on viewing the details and status of your export.
Clicking the export name on the Exports page will take you into a detailed view to show you its current status.
An ellipse button has an option to view your configurations that you set for this export. The export will show you while it's in progress and when it's ready to download. You can also delete old exports from the Exports page.
To download an export click on the title link below Volumes to begin the export.

After 7 days an export will expire and will not be available to download. In the event, you still need to access the export click on the export title & click 'Re-enable download'. The export will now be available to download.
