Creating a service account in Onna
We recommend that the Zapproved-Onna integration use a service account to be linked with Zapproved.
In Onna, if you have SSO and “Enforce to use SAML login” enabled, it will need to be disabled for Zapproved to login via the enabled service account. Therefore, this option must be disabled.

In the event ''Enforce to use SAML login” must remain enabled, the service account can be added to your identity provider application (Okta, OneLogin, Azure, etc..). The service account must be granted access to Onna within the identity provider application.
Below are the recommendations on how to set up a service account:
Have the admin in Onna create a service account by adding a new user. By default, any new users are added as a “Member”. The service account should have the “Member” role.

Then the admin in Onna will need to grant the newly created service account “Special permission” to “Create preservation”.

After the service account has been created and given the “Create preservation” permission, the admin in Onna will share either the workspace where the Enterprise Slack data source was created or just the data source with the service account. Preservations will be created based on any Slack sources that the service account has access to.
The admin in Onna will need to provide the service account with the Managed permissions.
To share a Workspace, head to the Workspace and click on the ellipsis at the top right-hand corner. From the pop-up menu click on the share icon.


To share a data source, head to the data source and click on the info icon at the top right-hand corner. From the pop-up menu click on the “Add people” icon.


Once the Preservation has been placed from Zapproved to Onna for creation, the service account can be used to access the Preservations inside of Onna.
When the Preservation completes, the service account will have the ability to export the data from the Preservation or share the Preservation with others.
To share the Preservation, head to the Preservation and click on the ellipsis at the top right-hand corner. From the pop-up menu click on the share icon.

To export a Preservation, head to the Preservation and click on the ellipsis at the top right-hand corner. From the pop-up menu click on the “Export” icon. From there, the user can select which Export type they’d like to export.

Are there any limitations with the preservation feature in Onna?
At this time there is a limiter in place to reduce the number of preservations that are running concurrently. This only applies to preservations with more than 1000 custodians.
For preservations that are rate limited ( 1000 custodians), there are a couple of limits to take into consideration:

Account group limit: This puts accounts into groups, and then the limit is applied to the entire group.

For example, if we have a limit of 4, and we have accounts “a, b, c, d, e”. We’d have groups [a, e], [b], [c], [d].

Account limit: This is the number of preservations each account group can have running concurrently.

For example, if this was set to 2, then each of the groups in the previous example could have 2 preservations running at the same time.

Once the limit is no longer reached, the next preservation will be scheduled automatically.
